Guide 8 · Free pilot

Run a free pilot event

Got an event before the end of March? Run it on EntryWick free, with us alongside. No card, no contract — we want the event to go well as much as you do.

Request takes 2 minutesAnyone organizing an event

Before early access opens in January 2027, we are running a small number of real events with real organizations, free. A pilot is the full product — registration, tickets, check-in, the scanner, reports — for one event of up to 1,000 people held before 31 March 2027, with an EntryWick person reachable throughout. The pilot terms are one page.

Step by step

  1. 1

    Tell us about the event

Press Run your event free anywhere on this site. The form asks for your name, organization, email, the event date, roughly how many people, and a sentence about what it is. We reply within one business day — usually with a time to talk for 20 minutes.

Two minutes. We reply within one business day.
  2. 2

    A 20-minute call

We walk through your event: who comes and how (families? teams? staff?), where people are checked in, whether anything is paid, what you need afterwards. From that we pick the closest event template and agree what "went well" means for you — a number at the gate, a report you need, no queue after 8 AM.

Six decisions, written down, before anything is built.
  3. 3

We set up the workspace with you

Your workspace is created on the EntryWick platform. We import the template, build the groups, adjust the form and the emails to your words, and set the check-in points and hours. You review on a screen-share and change anything. The event is published when you say.

Set up together. Published by you.
  4. 4

Registration opens; you send the link

You share the link the way you always do — email list, WhatsApp group, newsletter, the back of a flyer with a QR. We watch registrations with you, fix anything the form gets wrong in the first day, and build print sheets for anyone without email.

Watching the first days together is where forms get fixed.
  5. 5

Event day, with us on the line

The day before, we pair phones with your check-in staff and run the five-minute gate training. On the day an EntryWick person is reachable from first scan to last, watching the same live view you are. Afterwards you get the reports, every CSV, and a full export of your data if you want it.

Your gate. Our phone number on the training sheet.
  6. 6

    What we ask in return

Twenty minutes afterwards to tell us what was hard, and — if the event went well — permission to say so: a sentence and a photo, with your approval of the exact words. If it did not go well, we would rather hear that. Nothing else: no card, no contract, no obligation to continue in January.

Pilot terms fit on one page. Read them.
